How to integrate WhatsApp messaging for real-time order status updates in Kladana

This tutorial explains how to configure an integration that sends a WhatsApp message to the customer when their order status changes to Packed in Kladana. You can customize the status or scenario as needed.

Make sure that both applications are connected to Albato before creating an automation.

How to create automation

Sign in to your Albato account. Go to the Automation section and click the Create new automation button.

The first step is to set up a trigger.

Triggers are events that trigger an automation. All triggers run in real time; that is, data is transferred the moment the event occurs.

  • Choose Kladana.
  • Choose the Order update event.
  • Specify you Kladana connection.

In the next step, the system will offer options to send data. We will upload each order only once, so we will choose Yes from the list.

If the counterparty's phone number is in the Kladana order card, you should skip this step. In most cases, this parameter is in the counterpart card, so the next step is to add an action - Counterparty search in Kladana:

Actions are what Albato performs when your automation is running. Actions also allow you to transfer data to other apps and systems.

  • Choose Kladana.
  • Choose the Counterparty search event.
  • Specify you Kladana connection.

To customize the step, fill in only one counterparty ID field from the list of values provided in the Kladana - Order update step.

Now move on to the next step. To do this, select the + symbol and then select Action.

  • Choose WhatsApp Business API
  • Choose the Send a template message event.
  • Specify you WhatsApp Business API.

In the additional parameters choose the template created in WhatsApp Manager.

Fill in the fields in the Send a template message step.

In the Sender phone ID field, select the sender's phone number from the WhatsApp drop-down list.

In the Recipient's phone number field, fill in the Phone parameters from the Kladana: Counterparty search step.

In the Template variables field, specify which data from Kladana to pass to the message template (the number of fields depends on the number of variables in the template).

Click Save.

To transfer the list of products from an order, add the Rows gluing tool to the automation.

In this scenario, we only need to send a message to WhatsApp when the order status is Packed, so go back to the automation to set up Incoming data filtering.

Go to the Incoming filter settings:

  • Select the Value on which the filter will work. In this case it is Change order - status.
  • In the Condition field choose Equal.
  • In the second Value field paste the corresponding field. You can find order statuses and their IDs in the Kladana connection.

The automation has been created and is now ready to launch.

Kladana automatically transfers customer data to WhatsApp and sends a message to the customer.
