How to Use AI to Automatically Respond to Questions Received on Google My Business

We know how important it is to maintain a good online reputation for our businesses. For that, it’s not only important to have good reviews on search engines like Google, but also to ensure that all questions asked by potential customers are answered quickly and accurately.

By using Albato connected to an AI platform, this process becomes simple and automatic.

Connecting the apps

The first step is to make sure that the apps we will use in this automation are properly connected to Albato.

To do this, go to the Apps tab and click on Add a Connection.

Then, search for the Google My Business app (in the Albato platform it will appear with its English name: Google My Business).

Now just follow the instructions until you see the confirmation that the connection was successfully created.

If you have any Albato monthly plan, you will be able to use our feature called Albato AI, and there is no need to connect any other app for this type of automation.

If you have a Tier plan on Albato or are using the free version, it will be necessary to connect an external AI app. Here you can choose from ChatGPT, Gemini, Grok, Claude, Perplexity, among others. Just make sure you have an active account and a plan that allows API connections in this app. After deciding which app you want to use, simply repeat the process in the Apps tab and properly connect the chosen application.

How to create the automation

After having all apps properly connected to Albato, go to the Automations tab and click on Create new automation.

Click here to add a new trigger to your automation.

At this step, select the Google My Business app and the Question created event.

Next, click here to add an action to your automation.

Now, select the AI app that will be used to generate the response. As an example, we will use the native Albato AI feature.

Attention: if you are using a free or Tier plan, this feature will not be available. In this case, it will be necessary to connect an external AI app.

After adding this step, in the message field, configure the prompt that will guide the AI.

For example.

Generate a response to the following question (add here the question parameter received from Google). The response must contain a maximum of 4 lines, be accurate, with a polite and slightly informal tone. Avoid using technical terms and competitors’ names. To generate the response, base it on the information from this site: (insert your website here) and also on the previously provided instructions. Generate only the response, ready for direct use with the customer.

Attention: it is essential to create a clear and objective prompt, with well-defined instructions on how the response should be generated. Customize it as you prefer, but don’t forget to inform the AI where to find information about your business.

After configuring these points, fill in the Role field as follows.

The other fields can be left blank. Click on Save, and then click to add a new step.

Select the Google My Business app again, but this time choose the action Create or update answer to question.

Fill in the fields this way and use the response parameter generated by the AI in the previous step.

Now just save this step, and your automation will be fully configured and ready to use. To finish, activate the automation here.
