Valuecase: Ideas for automations to create using Albato

    IN THIS ARTICLE

Valuecase is a powerful tool that will help you optimize your customer journey, engaging them more with your products and services, and streamlining processes like sales and onboarding.

An important part of various digital strategies is to track the new lead or customer at each stage of interaction with your company. To do this, you may want to integrate Valuecase with other platforms.

In this content, you will see the following ideas for using Albato to link the app with other services like forms and CRMs:

    • New space in Valuecase → Create/Update a person or deal in Pipedrive
    • New lead in TypeForm → Create a new space in Valuecase

If you haven’t created your connection with Valuecase yet, learn how to do it here. (Link to instructions on how to create the connection).

    Connecting Valuecase with Pipedrive

Pipedrive is a platform where you can, among many other functionalities, manage your contacts and deals.

To keep your contact list always up to date and ensure that every New Space created in Valuecase generates/updates a deal or contact in Pipedrive, we have the following automation idea using Albato.

New space in Valuecase → Create/Update a contact or lead in Pipedrive

The first step is to ensure that both apps are connected to Albato. To check how to connect Pipedrive, refer to this article here.

Next, go to the Automations tab in your account and click on Create new Automation:

Then, click on the + icon in the first step of the automation.

This way, you will be selecting what will trigger the automation. In other words, what should happen in Valuecase to actually collect the data of this action and start the automation.

    2w%3D2000_1.jpg

Next, select the Valuecase app in the first field, and in the second field, choose the New Space trigger:

    3w%3D2000_2.jpg

Finally, select the connection you previously created with your Valuecase account.

If you haven’t done it yet, it can be created at this step as well. (In this case, you will see the option to Add a Connection where the created connections are shown in the image below).

    4w%3D2000_3.jpg

Decide if you want this automation to work in real-time and collect data from new spaces starting from the creation date, or if the idea is to collect past data from a specific period.

    Then, click Save:

    5w%3D2000_4.jpg

If you want to perform both options, you can create one automation for each scenario.

Next, we will add the Pipedrive action. For that, click the + icon next to the second step:

    6w%3D2000_5.jpg

Following the same logic as before, select Pipedrive in the first field and in the second, choose the option depending on what you want.

At this step, you will need to decide whether the idea is to create/update a person or a deal. Depending on what you want, choose one of the following actions:

    • Find a person by Name
    • Search for a Deal

In this example, we will create an automation to create/update a person.

    7w%3D2000_6.jpg

In the next window that appears, click on the blank field and select the First Name of the Contact parameter, which you will receive from Valuecase, then click Save:

    8w%3D2000_7.jpg

Notice that we first added a step to search for the person in Pipedrive. If they are found, we will update this contact.

If they don’t exist yet, we will create this contact.

That being said, we will need to add two new steps to our automation. One for each of these scenarios:

    9w%3D2000_8.jpg

First, select the option to Update Person:

    10w%3D2000_9.jpg

In the first field, choose the Person ID parameter that will be collected in the previous step we created:

    11w%3D2000_10.jpg

The other fields are optional. You can click on them and choose what you want to update in the person with the data collected from Valuecase.

After clicking Save, we will repeat the process to add a new action, but this time, to Create a person:

    12w%3D2000_11.jpg

Next, choose which information should go in each field of this new person in Pipedrive. Some fields have a predefined list of settings from Pipedrive, and in others, you can select values that you collected from Valuecase.

    Example:

    13w%3D2000_12.jpg

Now, let’s create the structure that will help us identify and segment so that if a person exists in Pipedrive, the contact is updated; otherwise, the contact is created.

To do this, the first step is to add a tool called Break between the two steps we previously created:

    14w%3D2000_13.jpg

    It will look like this:

    15w%3D2000_14.jpg

This way, we will ensure that both scenarios do not happen simultaneously.

The next and final step we will add is another tool. This time, we will add the Router tool, right after the step to search for a person by name:

    16w%3D2000_15.jpg

Next, let’s configure the condition as follows:

    17w%3D2000_16.jpg

If this value is empty, it means no person was found, and the automation should continue to the create person step. If it’s not empty, it means the person exists, and it will jump to the update step. Finally, the automation will look like this:

    Automation successfully created!

Now, just activate the automation, and whenever there’s a new space, the data will be synchronized with your contacts in Pipedrive.

See below for another automation idea you can create using Valuecase.

New lead in TypeForm → Create a new space in Valuecase

In some specific scenarios, you may want to generate a new space in Valuecase for new leads or customers who respond to your TypeForm forms.

With Albato, this is completely possible.

As in the previous example, make sure that you first connected both Valuecase and Typeform to your Albato account.

Next, go to the Automations tab in the platform and click on Create New Automation:

    18w%3D2000.jpg

This way, we know that the search step for the person by ID will generate a value.

Click on the + icon in the first step:

    19w%3D2000_18.jpg

Then select Typeform and as the trigger, choose New Lead:

    20w%3D2000_19.jpg

A Webhook will be generated automatically.

Click on the following icon to copy it, and in a new tab, open your form settings directly in Typeform.

    21w%3D2000_20.jpg

In your Typeform form, click on the Connect tab, choose the Webhooks option, and then click to Add a Webhook:

    23AD_4nXcTpezf1zXyC31ZxZQkIqf0lyepaFj9s40O388W8d4NBjIHme6hGKkkzOJpShI7RETtq96wh1c3PP_OUoZzomCJTinFlkZcUnWRVOotV2A69IMX2_NnkKFo8sLnFrYWZ5T-zC9DTw.jpg

Paste the value copied from Albato and click Save Webhook:

    24AD_4nXcCwwAxo9HnGrQaNkHOfBk0ZGVkQ0k1zkuV457E22gbwZUqj_tyJrQpNLZgONkt7QIUJg-wrEAUpsfTBPshJpn8LhdHT3YoDsBXu1KZuyn5y21QO1z5IQAmInwypcqeVDogLwZI.jpg

In Albato, click on Wait for Webhook:

    25w%3D2000_21.jpg

In a new incognito tab with your form published and online, send a new test. This way, you will see that all the data from this form will be identified by Albato.

Next, add a new step to your automation:

    26w%3D2000_22.jpg

This time, select the Valuecase app, and the action will be Create space:

    27w%3D2000_23.jpg

Next, fill in all the required fields and also the additional fields you want to send from Typeform to be present in your Valuecase space.

Notice that the first field asks for the template ID.

    28w%3D2000_24.jpg

This information can be found in the URL of the template when accessing it in Valuecase:

29AD_4nXcZozrU9A4fEvCFY1uAy6KfwREWN0AhRwG5IJHh7LmiQ1ij0bO2jt2vVl5KNIO2BWXuvMb-MViZPEU1AatP2pzXRFXF5mGvgGYbFeRrhAEAgqrgRKUz8x3DSmBGgTsr9SBTUlu96Q.jpg For example, in this case, the ID would be: lfl62zikjs1lxlgygrd3v61x

Thus, in Albato it would look like this:

    30w%3D2000_25.jpg

The other fields should be filled with fixed values (typed) or selected from the list that appears when clicking on each of the options.

Note that some fields are required, while others are optional.

After configuring all the fields, just save and activate the automation!

    Automation successfully created!
