How to Set Up Notifications When a Card Moves to a Different Stage in Trello
IN THIS ARTICLE
If you use Trello to manage tasks and projects, knowing when a card moves to a new stage matters. Without notifications, team members have to check the board manually or wait to be told.
With Albato, you can set up automatic notifications for any card movement in Trello. Every time a card changes its list, a message is sent to your chosen channel automatically.
In this guide, we'll set up an automation that sends a notification every time a card moves to a different stage in Trello. Follow the steps below to set it up.
Creating your automation
The first step is to have the Trello connection properly configured in Albato. You'll also need a connection for the app you want to use to send notifications — in this example, Slack.
If you haven't completed this step yet, go to the Apps tab on the platform, click Add new connection, and follow the instructions.
Once both connections are created, go to the Automations tab and click Create new automation.

On the new screen, click on the first step to add a Trigger to your automation.

Select the Trello app, the desired action (Card moved from one column to another), and the board where the cards are located. Then click Continue.

The next step is to add the app you'll use to send the notification. In this example, we will send a message via Slack. You can also use Telegram, email, and others.
Make sure that the Trello card contains the recipient's information. For example, to send a Slack notification, the card should include the recipient's Slack User ID.
Click to add an action to your automation.

Select Slack as the app. For the action, choose whether you want to send a private message to a user, a message to a public channel, or a message to a private channel.

After clicking Continue, you'll see the fields that need to be filled out. This step ensures that the information collected from the card will be sent to the right person.
The User - ID field is mandatory. Click the field and search for the user who should receive the notification.

Now fill in the message field with the desired content. You can choose between sending an unformatted message (first field) or a Markdown-formatted message (second field).
Your message can mix static values (manually written and always sent) and dynamic parameters (values that change based on the card data).

Fill in the fields as needed. To select parameters, click the field. To enter content manually, type the desired text.
Once you've made all the adjustments, click Save.
If you want more than one contact to receive the same message, duplicate this action step.

Then change the User - ID to the next person who should also be notified. If you want this contact to receive a different message, edit the message field accordingly.
Your automation is now ready to use — just activate it.

How to determine which cards should send notifications
If you want every card to trigger a notification, your automation is already ready.
However, if you have many cards and want only some of them to send notifications, set up a Filter.
Click the funnel icon on the right side of the first automation step.

Click to add a condition.

Define which parameter will be used to identify the card and what condition it must meet. In this example, we selected that the Card Name must be equal to "New Sale".

Please, note: You can define different conditions such as equals, not equals, contains, among others. If you're unsure what value to use, test the automation without a filter first. Then go to the History tab, click Details, and check the data received by the trigger. Use that information to configure the filter correctly.
