    How to Create and Update Opportunities in Lead Connector for New Contacts in Apollo

    If you use Apollo to find and manage contacts, there is usually follow-up work after each new contact is added — creating an opportunity in your CRM, assigning it to a pipeline stage, and making sure nothing is missed.

    Managing this by hand for every new Apollo contact takes time and introduces gaps between discovery and action.

    Albato bridges the two. Every time a new contact is added in Apollo, an opportunity is created and updated in Lead Connector — no manual work needed.

     

    Connecting the applications

    The first step before creating any automation in Albato is to connect the applications that will be used in this process. If you already have a connection with Lead Connector and Apollo, you can skip to the next section of this article.

    If you have not connected them yet, simply go to the Apps tab on the platform and then look for the Add a Connection option:

    Search for the desired application and then click again to create the connection. After following the instructions that appear on this screen, a success message and confirmation that the connection was created will appear.

    Now you will be ready to create your automation.

     

    How to create the automation

    Go to the automations tab and then click Create new automation:

    In the first step of the automation, we will select the trigger.

    That is, the event that will occur in Apollo so that the data is collected and sent to Lead Connector.

    Click here to add the trigger:

    Now, select the Apollo app and the New Contact event.

    Define whether you want to collect data in real time (that is, from the moment the automation is started onward) or if you want to bring data from previous periods:

    If you want to do both, you will need to create two similar automations, each one with this option selected in a different way.

    Next, we will add the next action.

    Since the idea is to create an opportunity associated with a contact in Lead Connector, we will first check whether this contact exists. In this way, we will branch the automation to either create a contact, if it does not exist, or simply create the opportunity directly for the contact found.

    To create this structure, add the Search Contact action:

    Then, in the search bar, we will use the email value coming from Apollo, as shown below:

    Now, click here to add a new tool.

    Select the tool called Branching. It will help us split the automation into two possible paths: one when the contact already exists and another when it needs to be created.

    Now click to add a branch:

    Here we will define a condition. First, we will consider cases where the contact does not exist.

    Then, give this branch a name and configure it as follows.

    We will use as a base the ID that the previous step will try to find for this user.

    Thus, if the ID is empty, it means that there are no contacts in Lead Connector with the email we searched for.

    Then, in this branch, we will click to add two actions.

    First, the Create Contact action.

    Fill in this step with the data you want, coming from Apollo.

    After clicking save, repeat the previous process to add another action still in this branch.

    In this action, finally, we will select the Create Opportunity option:

    Now, in the fields to map, you can add relevant details about this opportunity, using manually entered values that apply to all new opportunities, as well as values that will come directly from Apollo.

    An important point here is that, in the Contact ID field, you should use the value from the previous step, from the contact that we have just created.

    Finally, we will have finished this branch, where, when the client does not yet exist in Lead Connector, it will be created and then have the opportunity created and associated with it.

    Now let’s click to add a new branch, where we will work with the case in which the client already exists.

    Add a condition again, but this time for cases where the Contact ID is filled in, as shown below:

    Now we will add an action for this branch.

    Here, only the Create Opportunity action will be required, since the search contact step will already provide us with the contact ID we need.

    Select the Create Opportunity option again:

    Then, configure it in the same way we did before, but using, in the Contact ID field, the value coming from the search contact step:

    Now just activate the automation and you will already have a fully configured flow to integrate these two applications and obtain all the advantages of this type of connection.
